The job at the glance

As a key member of our Office Operations department, you will be the welcoming face for our employees and guests, ensuring our office environment is always well-organized and inviting. By joining our team, you will play an important role in our mission to transform the labor market, making it more inclusive and effective for everyone.

Responsibilities:

  • Greet and welcome guests upon arrival at the office.
  • Direct visitors to the appropriate person or department.
  • Serve as the first point of contact for employees regarding administrative issues.
  • Coordinate with the cleaning service and building facility team, reporting maintenance issues.
  • Ensure the office is tidy and presentable, equipped with all necessary stationery and materials.
  • Receive, sort, and distribute mail and deliveries.
  • Maintain office security by following safety procedures and controlling access via the app and reception desk.
  • Order office supplies and maintain an inventory of stock (incl. first aid kit).
  • Arrange lunches, book tables at restaurants, and order cabs.
  • Manage local office library.
  • Prepare meetings in the office.
  • Perform other clerical receptionist duties such as filing and photocopying.

  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment
  • Professional customer service attitude
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Fluent English and Polish
